Getting Started
What is ScanIt Vehicles?
ScanIt Vehicles (SIV) is a low-cost physical vehicle-inventory system. Your staff walk the lot with a handheld scanner and scan every vehicle's VIN or barcode to reconcile what's physically present against the dealership's inventory list — pulled automatically from your DMS. It answers "what's actually on the ground vs. what the system thinks we have." Unlike installed GPS trackers, SIV has no per-vehicle device and no monthly cellular cost — you scan on a schedule instead.
How is ScanIt Vehicles different from Smartelematics?
Both track dealership vehicles, but differently. ScanIt Vehicles is a periodic physical scan of the lot with a handheld — no installed hardware, low cost. Smartelematics installs a GPS tracker in each vehicle for near-real-time location, geofencing, and checkout tracking — a higher cost that includes the device plus a monthly cellular fee. Many dealerships use SIV for lot-wide inventory accuracy and reserve GPS trackers for specific needs.
How do I log in, and how are users added?
Sign in at siv.smartelematics.com with your email and password; the handheld uses the same credentials. Accounts are created by your dealership or corporation admin under Corporation Settings → Users — there's no public sign-up. No login yet? Ask your admin to add you, then use Forgot Password to set your password.
Scanning & Physical Inventory
How do I scan the lot and run a physical inventory?
On the handheld, tap Sync With Server to download your dealership's current inventory to the device. Walk the lot and scan each vehicle — pull the scan trigger over the VIN barcode, or type the VIN / Stock # and press Enter. Each match flips the vehicle to "scanned" and records the time and GPS location, and the Scanned counter climbs toward the In Inventory count. When you're done, tap Sync With Server again to upload your scans.
Can I scan with no internet on the lot?
Yes. After you Sync With Server to download the inventory, all scanning is offline against the on-device list. You only need a connection for the initial download and the final upload — so dead zones on the back lot are no problem.
What happens when a scanned vehicle is "Not Found"?
If a scan doesn't match anything in the downloaded inventory, the handheld asks whether you'd like to add it. Tap Yes to record it as a found-but-not-on-list vehicle, or No to discard. Added vehicles show up on the Not In Inventory and Variance (Found) reports so you can reconcile them with your DMS.
Can one login cover multiple dealerships?
Yes. On the handheld, use the menu → Change Dealer (shown only if your login covers more than one dealer). Note you can't switch dealers while you have unsynced scans — the app warns "Scanned Data Found!" and you must Sync With Server first so nothing is lost.
Reports
What is the Variance Report?
The Variance Report compares your last scan against the inventory list, in two views. Missing (red) = in inventory but not scanned during this count — it should be on the lot but wasn't found (sold, misplaced, or moved). Found (green) = scanned during this count but not in inventory. Filter by vehicle type and variance type; columns include VIN, Stock #, Year, Make, Model, color, type, and last-scanned.
What is the Not In Inventory report?
Not In Inventory lists vehicles that were scanned but aren't on the inventory list — VIN, Stock #, who scanned, and when. These are the "found extras" (e.g. added on the handheld) to reconcile with your DMS.
Is there an audit trail of who scanned what?
Yes — the Scan History report lists every scan with the person's name, VIN, Stock #, and timestamp. Filter by search, date range, and user to see audit progress and who scanned what.
Addendums
What is an addendum and how do I print one?
An addendum is a printable sheet or sticker of dealer-added options and prices for a vehicle. Go to Addendums → Print, search and add the vehicle(s), pick a layout, add each option (name + price, drag to reorder), then Print to generate the PDF.
Can I save reusable addendum options?
Yes. Addendums → Options is your saved catalog of options (description + price). Create and edit them there; when printing an addendum, the Option Name field autocompletes from this catalog.
DMS & Inventory
Which DMS systems does ScanIt Vehicles work with?
ScanIt Vehicles integrates with CDK, DealerTrack, and Auto/Mate. Your inventory pulls automatically from whichever your dealership uses. Not sure about your DMS? Contact us and we'll confirm.
Do I add vehicles manually, or do they come from my DMS?
Mostly automatically. ScanIt Vehicles pulls your inventory from your DMS on a schedule and with the Pull Inventory button. You generally don't hand-enter vehicles — scanning reconciles the physical lot against that pulled list.
What does "Pull Inventory" do?
Pull Inventory (on the dashboard) refreshes your vehicle list from your DMS on demand, instead of waiting for the scheduled sync. After it finishes, the handheld's next Sync With Server downloads the updated list.
Hardware & Technical
Which handheld devices does ScanIt Vehicles support?
The ScanIt Vehicles scanner app runs on rugged Android handhelds — currently the Chainway C66 and Chainway C72. It uses the device's built-in barcode scanner (physical trigger), not the phone camera.
How do I check my connection or set up WiFi on the handheld?
Menu → Settings → WIFI opens the device's WiFi settings. To test the server link, menu → Test Connection runs Connection to server / Server Ping / Download speed and flags a slow connection. The Information screen shows wireless status, IP address, and app version.
How does the handheld get updated?
The app checks for updates automatically at login (and via Information → Check for Update). If an update is available it downloads and installs the new version. Keep the device on WiFi at login so updates can apply.
