Scanning Multiple Vehicles from a Transport

When a truck arrives with many vehicles, batch mode lets you scan them all fast. You do not have to wait for each one to finish before scanning the next.

  1. Choose Batch Check-In from the scanner menu.
  2. You can enter a transport or delivery number to group all vehicles in this batch.
  3. Walk along the truck and scan each VIN barcode as cars are unloaded. The scanner queues each scan and runs them one after another.
  4. After each scan, the scanner shows the year, make, and model so you can confirm it read the right barcode.
  5. Keep scanning until all vehicles from the load are done.

Tip: Scan vehicles as they roll off the truck. This is the best approach. You have clear access to each VIN label before cars get parked close together on the lot.

Best Workflow for Large Loads

To save the most time on a big delivery, follow these steps:

  1. Get ready before the truck arrives — Charge your scanner, connect to WiFi, and set it to batch mode before the truck pulls in.
  2. Scan at the unload point — Stand near where cars come off the truck. Scan each one as it rolls off.
  3. Send cars to their spots — As each vehicle is scanned, tell the driver where to park it. The GPS logs the park location.
  4. Check the batch summary — When all scans are done, the system shows a list of every vehicle with its status (posted, pending, or error).

Checking Against the Manifest

Every delivery comes with a manifest that lists the vehicles on the truck. Use ScanIt Vehicles to match your scans to the manifest:

  1. After all scans, open the Batch Summary screen on the scanner or PC.
  2. Compare the scan count to the manifest count. If they do not match, you know a vehicle is missing or an extra was sent.
  3. The system can flag VINs on the manifest that were not scanned. This shows any vehicles still on the truck or not sent.
  4. Only sign off on the load after all manifest vehicles are found.

Important: Do not sign the driver's receipt until you scan every vehicle and confirm the count matches. Problems found after the driver leaves are much harder to fix.

Tips for Speed and Accuracy

  • Scan in order — Work from one end of the truck to the other. This keeps you from skipping a vehicle.
  • Listen for the beep — Each good scan makes a sound. If you do not hear it, scan again before moving on.
  • Watch for duplicates — The system warns you if you scan the same VIN twice. This stops you from making double records.
  • Check for damage — As you scan, do a quick look for transport damage. Note any damage right away so it is on record before the driver leaves.
  • Print stickers after — Print all stock stickers and key tags in a batch after check-in, rather than one at a time during scanning.
