System Requirements & Setup

Make sure everything is in place before you start scanning

Hardware Needs

ScanIt Vehicles runs on standard store hardware. Here is what you need for each part of the system.

Component Requirement
Workstation PC Windows 10 or later, 4 GB RAM minimum, 1024x768 display resolution or higher
Barcode Scanner IPS-provided wireless handheld scanner with VIN scanning capability
Label Printer Compatible portable or desktop label printer for stock stickers and key tags
Standard Printer Any networked laser or inkjet printer for invoices and reports

Note: IPS provides and configures the barcode scanners as part of your ScanIt Vehicles deployment. You do not need to purchase scanners separately.

Network Needs

Good WiFi coverage is a must for scanning anywhere on the lot. Your network should meet these needs:

  • WiFi coverage — Signal must reach all areas where vehicles park. This includes overflow lots and remote storage.
  • Speed — A standard business internet line is enough. Scanners send small bits of data per scan.
  • Signal strength — Weak spots cause scan delays. Add outdoor access points or boosters for big lots.
  • Firewall — The system needs outbound internet access to reach IPS servers and your DMS.

Important: If your lot has dead zones without WiFi, scans done there will wait on the device. They send once the scanner links back up. But full WiFi coverage is best for real-time tracking.

Browser Needs

The ScanIt Vehicles web tool works in any modern browser. For the best results, use one of these:

  • Google Chrome (recommended) — version 90 or later
  • Microsoft Edge — version 90 or later
  • Mozilla Firefox — version 88 or later
  • Apple Safari — version 14 or later

Make sure JavaScript is on. Set pop-up blockers to allow the ScanIt Vehicles site.

Initial Setup Checklist

Before your first scan day, work through this list with your IPS rep:

  • Scanner received and charged — Unbox your IPS scanner, charge it fully, and confirm it powers on.
  • WiFi configured on scanner — Connect the scanner to your dealership WiFi network. IPS support can walk you through this.
  • Label printer set up — Install the label printer driver on your workstation and load label stock.
  • DMS connection verified — Confirm that ScanIt Vehicles can communicate with your DMS. Your IPS technician will handle this during installation.
  • User accounts created — Set up login credentials for each team member who will use the system.
  • Test scan completed — Scan one vehicle VIN barcode and verify the data appears correctly in the system and posts to your DMS.
  • Sticker template configured — Customize your stock sticker and key tag templates with your dealership branding.
  • Print test completed — Print a test stock sticker and key tag to confirm formatting and printer alignment.
